Frequently Asked Questions

Direct answers on pricing, delivery, licensing, and logistics. Anything missing — email hey@rafaelbastos.co.uk and I’ll answer shortly.

I work to your event’s privacy protocol: photography notices at registration, opt-out lanyards or no-photo zones, and prompt deletion on request. For headshots and portraits, subjects approve images before publication.

2–4 weeks for standard events; peak season (May–June, September–November) books 6–8 weeks out. Short-notice coverage is sometimes possible — always worth asking.

25% on booking, balance on delivery. Corporate clients can pay on invoice with standard 15-30-day terms.

Yes — UK-wide and internationally. Recent assignments: Las Vegas, Miami, Berlin, Brussels, Paris, Madrid, and Doha. Travel is quoted transparently in advance.

I work solo by default. For multi-track conferences or simultaneous sessions I bring a second photographer, and I can add videography and dedicated editing when scope requires.

English, Portuguese, and Spanish — useful for international delegations and multilingual events.

Editorial. I trained as a press photographer (Camera Press, Vogue Brazil) and shoot moments rather than setups: real reactions, clean compositions, honest colour. Subjects have included Lewis Hamilton, Jared Leto, Sebastião Salgado, and the CEOs of Adobe and Nvidia.

Half-day coverage (up to 4 hours) from £550; full-day (up to 8 hours) from £950; multi-day conferences and international events quoted on enquiry. Prices include pre-event planning, editing, and a licensed digital gallery. Quotes are fixed before the event — no surprise fees.

Branding: half-day from £700, full-day from £1,200. Headshots: individual sessions from £250; on-location team sessions from £650 (half-day, up to 20 people — roughly £55–£80 per person at volume).

Same-day or next-day delivery for events with press or PR deadlines, with selected highlights available during the event for live social media. Headshot and branding galleries are delivered within 3–5 working days; event galleries within 5 working days.

You receive a commercial usage licence covering marketing, web, social media, PR, and internal communications. I retain copyright — standard practice in UK commercial photography — and full buyouts or extended licences (advertising, out-of-home) can be arranged.

No — RAW files are unfinished work. You receive professionally edited, colour-graded, high-resolution files sized for print and web.

Yes — full Professional Indemnity and Public Liability insurance. Documentation is available on request for procurement and venue compliance.

Every event is shot with dual camera bodies, backup lighting, and dual-card in-camera backup. If I’m ever unable to attend, I maintain a network of trusted London photographers of comparable standard and will arrange a briefed replacement — in 25+ years I’ve never missed an event.
